What you'll do

In this critical role on AlixPartners' Corporate Services team, the Office Manager will oversee the day-to-day functions of the Dallas office, including supervising administrative professionals, supporting, and liaising with consulting professionals at all levels.

The Office Manager - Dallas is a full-time role located in Dallas, Texas and reports to the Director of Office Management and Facilities - Americas. Paid relocation is not available for this position.

  • Oversight and management of office space and its people including but not limited to:
    • Lead, motivate, and ensure the successful development of administrative team members who support the Dallas office.
    • Oversee office opening, shut down process, health, safety, and emergency procedures.
    • Hoteling and office assignments for consulting staff.
    • Facility, building services, and supply inventory management.
    • Office efficiency analysis, improvement suggestions, and facilitation of office construction and development.
    • IT services such as troubleshooting and maintaining AV equipment and server room.
    • Maintenance of file system including off-site storage per firm record retention policy.
    • Approve vendor invoices and other bills within local approval threshold.
    • Perform periodic analysis of all vendor performance and contracts.
    • Liaise directly with building management and/or landlord on all office space items per lease agreement.
    • Manage building provided services (janitorial, carpet cleaning, engineering, repairs, etc.).
  • Provide administrative support to consulting professionals including but not limited to the following:
    • Organize client/prospect communications and marketing efforts.
    • Handle sensitive and urgent information from clients, AlixPartners personnel, and other contacts while exercising appropriate judgment when responding.
    • Manage complex calendaring, prepare business travel itineraries, and process expense and time reports.
    • Anticipate needs, prioritize responsibilities, effectively handle calendar conflicts, and proactively manage schedule changes.
  • Provide support to Organizational Development and Human Resources teams including the following:
    • Assist corporate HR with staff onboarding/off-boarding and perform local orientation procedures.
  • Plan and organize holiday celebrations, team-building events, and client events.

What you'll need
  • High school diploma required; bachelor's degree preferred.
  • Minimum six (6) years of progressively responsible administrative experience, with a minimum four (4) years of people leadership and office management experience.
  • Demonstrated leadership skills including coaching for results, the ability to convey a sense of purpose, and motivating others.
  • High degree of professionalism in behavior and manner including interfacing with the public andfostering an "employer of choice" workplace culture.
  • Ability to take initiative, exercise discretion and judgment with minimal supervision.
  • Highest level of integrity is required for all aspects of the role including managing confidential office and personnel issues.
  • Exceptional communication, listening, and interpersonal skills to interact with internal and external clients at all levels.
  • Effectively communicate Company policies and procedures.
  • Extremely proficient organizational and computer skills (i.e., Microsoft 365: Word, Excel, Outlook, and PowerPoint).
  • Ability to maintain a positive and energetic attitude and thrive in a dynamic, constantly changing office environment.
  • Ability to lift a minimum of 15 pounds.
  • Excellent written and verbal communication skills in English.
  • Willingness to work outside of normal U.S. business hours, and as unique projects/needs arise.
  • Ability to work full time in an office and remote environment; physically able to sit/stand at a computer and work in front of a computer screen for significant portions of the workday.
