Savills is looking for a Client Services Specialist to provide administrative, marketing and research support to team members up to and including executive management; resourceful and able to anticipate the needs of team members while working on multiple assignments in a dynamic environment; ability to communicate effectively with executive level individuals internally and externally. Provide support for servicing existing clients. Assist with the preparation and presentation of client materials. Provide overall support to the team’s efforts to generate new business and service existing relationships.

KEY DUTIES AND RESPONSIBILTIES

Essential Functions

  • Provide day to day support to team members for professional correspondence and tasks, meeting project schedules, and task listings for client assignments.
  • Research and prepare market/building surveys.
  • Accurately prepare reports, marketing presentations, surveys, tours, and flyers to meet brokers' requirements and clients' needs, often under tight time constraints.
  • Direct involvement in client presentations, including preparation and presentation as needed
  • Perform accounting functions which may include preparation of expense reports, requisitions, and billings
  • Work in cooperation with other employees in the office on large projects
  • Coordinate travel arrangements, detailed itineraries and special events
  • Answer telephones, filing, database entry, and other tasks and responsibilities as assigned by brokers and Director of Operations.
  • Attend and participate in staff meetings, company-sponsored events, and training.
  • Create, schedule, and manage email marketing system (ExactTarget) for recurring marketing and broker requirement requests.
  • Update weekly headcount reporting for clients.
  • Update weekly reporting for team meetings
  • Assist transaction managers in preparing presentations for annual/bi-annual meetings.
  • Internet research capabilities.

Specialty Functions

  • Knowledge of Salesforce or other applicable CRM. Administration, training, oversight, reporting, etc.
  • Assist with marketing collateral including email campaigns, sublease flyers, & PowerPoint presentations
  • General writing ability, white papers, blog posts, press releases

QUALIFICATIONS

  • Microsoft Office Suite
  • Basic knowledge of graphic design principles
  • General knowledge of database & research techniques
  • IT knowledge and ability to troubleshoot typical software and hardware problems
  • Calendar management

  • Ability to multi-task and meet deadlines in a high-pressured environment
  • Consistently demonstrate a high level of performance and professionalism
  • Effective communication with brokers, staff and clients
  • Detail-oriented and well organized
  • Work well individually and in a collaborative team environment

REQUIRED EDUCATION AND EXPERIENCE

  • At least 10 years work experience in an administrative/support position
  • Any combination of education, training and experience that demonstrates the ability to perform the duties of the position

PREFERRED EDUCATION AND EXPERIENCE

  • Bachelor’s degree preferred
  • Commercial real estate experience
